Inviting players

Add players to your campaign

Open a campaign’s settings to manage your table roster. Every player row now includes a status badge so you can see at a glance whether they already have an Epicly account connected to that campaign’s Codex or if an invite has just been sent. The statuses work like this:

  • Linked — the player’s Epicly account is already tied to your campaign’s Codex and they can browse the lore immediately.
  • Invited — Epicly just sent an invitation email. Once they accept, create their account, and log in, the row switches to Linked automatically.
  • Invite failed — we couldn’t deliver the invitation email. Try resending the invite or reach out to support if the problem persists.

As soon as you add an email to the roster we create or update the underlying contact, send the invite email, and link it to your campaign’s Codex. If the address is new, the invite includes a magic link that lets them choose a password and finish onboarding.

Email automations keep everyone informed

Every waitlist submission now triggers an automatic confirmation email so new players know they are in the queue. Once the system creates their account, a welcome email arrives with links back to the app, the documentation, and their onboarding checklist. These automated messages happen in the background so you can focus on running your game while Epicly handles the invites, confirmations, and welcome notes for your table.
